Approver | Person responsible for reviewing and approving the content of the WHO eManual (structure and policies). The approval process requires two approvers per section. The first-level approver validates the technical aspects of the policy, while the second-level approver certifies that the policy is in line with all relevant policies and regulations. |
Bookmark | Element added to a portion of text (paragraph numbers and headings within a policy page) in order to allow the creation of a link to that specific destination. |
Breadcrumbs | Links at the top of a page that allows a user to go back up in the hierarchy of the document. |
Check In / Check Out | Status of a policy page. Check In indicates that the policy page is not being modified by anyone. Check Out indicates that the policy page is being modified or reviewed. The status must be changed back to Check In in order for anyone to be able to work on the policy page. |
Contributor | Person responsible for updating
existing policies and adding new policies. They are also responsible for formatting
the policy pages and initiating the approval process. The contributors for a part
or a section also maintain the related content pertinent to the part or the section
in question. |
Draft status | Status of a policy page when the page has been modified but the approval process has not been completed. The changes to the policy page are not visible to end-users. |
Edit Mode | Mode specific to the creation and update of content. Accessible via the Settings menu. |
Formatting | Actions that consist in applying styles to the text within a policy page and creating the necessary bookmarks and links. It is mandatory to follow the format defined in these guidelines. Doing so guarantees viewing and navigating the information contained in the WHO eManual is consistent throughout the entire system. |
General Policy Content box | When in Edit Mode, portion of the screen where the policy text is entered and formatted. Information entered in the General Policy Content box is automatically indexed when published and therefore searchable. |
History | Represents the different versions of a specific page. Versions are automatically created by the system when a new iteration of the page is published. |
Landing page | Destination page of a link. |
Link | Can either be internal – pointing to a destination within the WHO eManual – or external – pointing to a destination outside of the WHO eManual. |
Navigation bar | Left-hand side of the window that allows for a quick access to specific parts, sections and policy pages. |
Part | Element of the structure of the WHO eManual, representing its highest level. |
Policy page | Element of the structure of the WHO eManual, representing its lowest level. The policies of the Organization are documented at this level. |
Policy Updates | List of all the modifications made to a policy page, also providing a justification for the change. |
Related Content | Supporting documents to a specific policy. Includes, for example, Information Notes and Standard Operating Procedures. |
Ribbon | A list of menu options that are accessible to users. The content of the ribbon is contextual and changes depending on what actions are being performed or the user's role. |
Section | Element of the structure of the WHO eManual, representing its intermediate level. |
Settings | A drop-down menu that can be access by clicking the "wheel" icon on the Ribbon. Among other options, allow a contributor to open a policy page in the Edit Mode. |
Spellcheck | When checking in or approving a page, an automatic spellcheck is performed. The information is indicative and no correction is needed in order to continue. It is also possible to perform a spellcheck from the FORMAT TEXT tab, in Edit Mode. By default, the language for the WHO eManual is set to English United Kingdom. |
Update | Changes to a policy page. Updates may, for example, be due to a change to the policy itself or to correct a mistake in the text of the policy. The list of updates is accessible through the "View Policy Updates" link in the Help box visible on each section and policy pages. |
URL | Represents the unique address of a specific page on the internet. The URL is used to create a link. |
WIMS account | Account necessary to access some specific functionalities of the WHO eManual. The WIMS account is also used to access other systems such as GSM. |
Workflow | Represents the different steps necessary to complete a process. In the WHO eManual, the only workflow used is the approval workflow. |
