10 Payment by bank transfer should be made where possible, particularly to travellers from countries where their bank account and credit cards can be used overseas. Treasury maintains a list of countries where travellers should be able to use their bank account / credit cards overseas.
20 Payments by travellers cheque and cash voucher should only be used if:
- it is an urgent case where the traveller needs the per diem funds immediately to finance the travel and the supplier bank details cannot be set up in Accounts Payable in time; or
- the traveller only has a bank account in a non convertible currency which cannot be used to settle international travel expenses; or
- the traveller is genuinely unsure of travel.
30 Travellers cheques are recorded in a cash book (one account per currency and denomination, to reflect serial number and quantity of cheques, value in cheque currency, eventually converted into US dollars for other currencies); entries must be supported by vouchers in the normal manner, with adequate supporting documentation or information to explain the transaction.
40 The return of unused travellers cheques to the travel agent is recorded by a voucher in the travel agent receivable account.
50 Special insurance coverage can be contracted for unsigned travelers cheques.
