10   Duty travel by private car will be based on the minimum travel cost on the most direct route and will be refunded using the United Nations mileage rate system per kilometre/mile, covering fuel and toll costs. No additional costs will be refunded.

Travelling by private car (who.int)

20   On completion of travel, travellers should provide evidence that travel by private car has actually been undertaken on the authorized itinerary. Such evidence may consist of fuel receipts, toll fee receipts, passport immigration stamps, etc.

30   The following conditions apply to travel by private car:

  • When travellers use a private car for duty travel, it is their responsibility to take out insurance at their own expense against damage to or loss of the vehicle and against claims for injuries, damage or loss involving the persons or property of third parties, including passengers.
  • In the event of injury to, or death of, a traveller travelling by private car for reasons of personal convenience, the onus of proof rests with the traveller to show that the accident was attributable to the performance of his/her official duties on behalf of the Organization.
  • The traveller is responsible for any claims for injuries, damage or loss involving the persons or property of third parties, including any passengers.
  • The Organization declines all responsibility for any damage to or loss of the vehicle.
