10 A separation action is initiated through the on-line system, approved by the responsible supervisory officer (normally a divisional or Regional Director) and validated by the HR Planning Specialist.
20 The HRBP/RHRO examines the separation action to ensure that it complies with the provisions of this section of the WHO e-Manual and with the Staff Regulations and Rules. When the separation action is approved, the HR Administrator, Global Human Resources (GHR) updates the separation details in the staff member's records and notifies the relevant parties, including the Staff Physician or the Regional Staff Physician as appropriate of the scheduled date of separation of the staff member. Where required, the travel authorization and the relocation shipment is administered. The staff member must comply with the clearance process before the date of separation. 30 When the Staff Physician or the Regional Staff Physician as appropriate decides that a medical examination on separation is required in accordance with III.15.5.10, they contact the staff member to arrange for the medical examination.
40 Prior to the date of separation, staff members report to the HRBP (or the Regional HR Manager if they are being separated at the Regional Office) to undergo an exit interview.
50 Final payment will not be processed unless a staff member has obtained all relevant clearances and has fully complied with all steps of the clearance process.
60 Prior to the date of separation from the organization, staff members will discuss with their supervisor and team the approach to the retention and transfer of knowledge from the departing staff member, ensuring that all relevant files, documents, materials, and other records have been properly identified and stored, and hand-over notes provided, so that they are accessible to the team and the staff member's successor.
